The Accreditation Process

A transparent, milestone-driven journey designed to fairly evaluate competence and support continual improvement.

  1. 1

    Application

    Estimated timeline: 1–7 days

    The applicant submits an application defining the organization, requested accreditation program, and proposed scope of accreditation. ConforMax reviews the submitted information and confirms receipt of the application. A coordinator is assigned to guide the applicant through the accreditation process. Any initial information or clarification needed for processing is communicated at this stage.

  2. 2

    Eligibility Review & Application Acceptance

    Estimated timeline: 3–5 working days

    ConforMax reviews the application for completeness, eligibility, and suitability of the requested accreditation scope. The requested activities are checked against the applicable accreditation program and requirements. Clarifications or additional information may be requested from the applicant where necessary. Once the application is accepted, the assessment process proceeds to the next stage.

  3. 3

    Document Review

    Estimated timeline: 2–3 weeks

    Assessors review the applicant’s management system documentation, procedures, policies, technical documentation, and supporting records against the applicable accreditation standard. The review determines whether the documented system adequately addresses the relevant requirements. Any gaps or concerns identified during the review are communicated to the applicant. The organization is expected to address necessary documentation issues before proceeding to the assessment stage.

    Preliminary Assessment

    Estimated timeline: 2–3 days

    A preliminary assessment is conducted to evaluate the organization’s readiness for the full on-site assessment. Assessors review selected processes, records, facilities, personnel competence, and implementation of the management system. The assessment helps identify significant areas that may require attention before the formal on-site assessment. Findings and observations are communicated to the applicant for appropriate action.

    On-Site Assessment

    Estimated timeline: 1–2 days

    A qualified assessment team conducts the formal on-site assessment at the organization’s facility. Assessors evaluate the implementation and effectiveness of the management system and technical activities within the requested scope. Records, personnel competence, equipment, facilities, procedures, and actual activities are evaluated as applicable. Witnessing of relevant activities may be performed to verify technical competence and conformity with the applicable requirements.

  6. 6

    Corrective Action & Closure

    Estimated timeline: 1–2 weeks

    Any nonconformities or findings identified during the assessment are formally documented and communicated to the applicant. The organization submits corrective actions together with objective evidence addressing the identified findings. Assessors review the proposed corrective actions and supporting evidence for adequacy and effectiveness. Findings are closed when the assessment team determines that the corrective actions satisfactorily address the identified issues.

  7. 7

    Accreditation Decision

    Estimated timeline: 1–2 weeks

    After completion of the assessment and closure of applicable findings, the complete assessment record is reviewed for the accreditation decision. The decision is made independently based on the evidence generated during the assessment process. Where all applicable requirements have been satisfactorily demonstrated, accreditation is granted for the approved scope. The applicant receives the applicable accreditation decision and documentation.

    Surveillance & Reassessment

    Estimated timeline: Ongoing cycle

    Accreditation is maintained through planned surveillance activities conducted during the accreditation cycle. Surveillance assessments verify continued conformity, technical competence, and effective implementation of the management system. Additional assessments or reassessments are conducted as required by the applicable accreditation program and accreditation cycle. Continued accreditation depends on maintaining conformity with applicable requirements.
